Job Summary
The Vendor Relations Clerk plays a key role in supporting the day-to-day maintenance and repair process within the operations team. Reporting to the Vendor Relations Supervisor/Manager, this position ensures that vendor requests, work orders, and service issues are managed efficiently and resolved promptly. The ideal candidate is organized, detail-oriented, and comfortable working in a fast-paced, team-driven environment.

Job Summary
The Vendor Relations Clerk plays a key role in supporting the day-to-day maintenance and repair process within the operations team. Reporting to the Vendor Relations Supervisor/Manager, this position ensures that vendor requests, work orders, and service issues are managed efficiently and resolved promptly. The ideal candidate is organized, detail-oriented, and comfortable working in a fast-paced, team-driven environment.
Key Responsibilities
- Receive customer requests and coordinate with vendors formerly on completion of repairs and equipment service.
- Record and track all incoming issues in internal systems, ensuring timely updates and communication with vendors and clients.
- Review and process vendor quotes and information to determine next steps, including part ordering and service coordination.
- Maintain accuracy of work orders for reporting and billing purposes.
- Monitor team email inboxes and systems for new or escalated requests, providing support and coverage as needed.
- Maintain assigned territory orders to meet team metrics for accuracy, timeliness, and quality.
- Partner with internal teams to resolve vendor-related issues quickly and effectively.
- Identify and recommend process improvements to increase efficiency and accuracy in vendor management.
- Assist with the onboarding process for new vendors.
- High school diploma or GED required.
- Previous administrative, customer service, or vendor relations experience is a plus but not required.
- Strong attention to detail with excellent organizational skills.
- Effective verbal and written communication skills.
- Ability to multitask and manage completing priorities.
- Proficient with computer systems and data entry.
- Team-oriented and adaptable in a changing work environment.
